Entering NPI Information in Medisoft

Medisoft displays NPI information on the CMS-1500 form when claims are generated. The application gathers NPI information that users enter in various fields and then displays this data in fields 17B and 24J of the CMS-1500 when claims are generated. The following procedures overview entering NPI information in Medisoft.

Adding Group NPI Information

  1. On the List menu select Provider, and from the Provider submenu select Class. The Provider Class List window opens.

  2. On the Provider Class List window, select the appropriate provider class and click the Edit button.
    -or-
    If the provider classes have not been created, click the New button.
    The Provider Class List data entry window opens.

  3. On the National ID field, enter the NPI for the practice.

  4. Click the Save button.

  5. On the List menu select Provider, and from the Provider submenu select Providers. The Provider List window opens.
    The provider class, edited or created in the previous steps, needs to be assigned to each provider associated with that Practice NPI.

  6. On the Provider List window, click the Default Group IDs tab. From the Provider Class drop-down list, select the appropriate provider class.

  7. Click the Save button.

Adding Provider NPI Information

  1. On the List menu select Provider and from the Provider submenu select Providers. The Provider List window opens.

  2. On the Provider List window, select the appropriate provider and click the Edit button.

  3. Select the Default Pins tab and on the National Identifier field enter the provider NPI number into the National Identifier field.

  4. Click the Save button.

Adding Referring Provider NPI Information

  1. On the List menu select Referring Providers. The Referring Provider List window opens.

  2. On the Referring Provider List window, select the appropriate referring provider and click the Edit button.

  3. Select the Default Pins tab and on the National Identifier field enter the referring provider NPI number into the National Identifier field.

  4. Click the Save button.

TIP: A supervising provider is sent on an electronic claim if the rendering provider is being supervised by a physician. The supervising provider uses the Referring Provider list.

Adding Facility NPI Information

  1. On the List menu select Address. The Address List window opens.

  2. On the Address List window, select a facility and click the Edit button.

  3. On the Address window select the General tab. On the National ID field enter the NPI number.

  4. Click the Save button.

TIP: A purchased service provider is only sent on an electronic claim if the Purchased Service Indicator is checked under the procedure code being billed and the Purchase Service Indicator box has also been checked for the facility assigned to the case. The Purchased Service Provider NPI then looks at National Identifier assigned to the facility in the patient’s case.


 

How do I get my secondary claims to print.

There are a few items within Medisoft that will determine if and when a secondary claim will print.

 

  1. In the insurance Carrier entry window, Options tab, if Delay Secondary Billing is checked for the PRIMARY insurance carrier on the claim, then the secondary claim will not be able to be printed unless the primary carrier has been billed AND there has been a payment received, posted and applied for ALL of the procedures on the claim.  If Delay Secondary Billing is not checked, then you will be able to print a secondary claim regardless of whether the primary carrier has been billed or has paid.
  2. On the Policy 2 tab of the case record for the patient, there is an option for Crossover Claim.  If this is checked, then the status of the secondary carrier will be changed to Sent when the primary carrier is billed.  This indicates that the primary carrier will bill the secondary carrier automatically.  If Crossover Claim is NOT selected, then see the above conditions regarding Delay Secondary Billing.

 

How to print a secondary claim:

 

  1. Verify that the primary carrier has been billed (the status must be Sent and there must be a billing date) and that there has been a payment applied and marked as complete for all procedures that were billed on the claim.
  2. Verify that the secondary carrier has a status of Ready to Send.
  3. From Claim Management, click on Print/Send.
  4. Select Paper for your billing method.  Next, select your Secondary form.  This is usually shown by the name of the form with the word Secondary in the title of the form.  Choose to either preview the claim or to print it to your printer.
  5. Finally, enter any data selection questions that your would like to choose to batch your secondary claims.

If there is more than one practice, open each practice and back them up separately.

1. Go to File and select Backup Data.

2. The Backup Warning window appears as a reminder to have all users in the Practice and/or Communications Manager exit from the program before continuing. Click OK.

3. When the Backup window opens, enter the name and path of the directory in the Destination File Path and Name field. In the example below, the H: Drive was specified for the Destination File Path, and the backup file was named Tuesday. This was accomplished by simply typing in H:\Tuesday. Medisoft automatically enters the file type MBK at the end of the Destination File Path and Name. If you do not enter a name, the current date will be used as the backup name. If you are not sure of the complete path for the backup, click Find to browse to the directory. When the Find button is clicked, the Browse for Folder window appears, allowing you to select a different Hard Drive, CD Drive, Zip Drive, or another computer on your network. Once a destination has been selected, click OK. You will be back in the Destination File Path and Name field (above) where you will enter a name for the backup. 

4. If you decide on protecting the backups with a password, enter it in the Password field. FYI: The Existing Backup Files section will list all of the backups located in the Destination File Path. Also, the Source Path field lists where the backup data is emanating from. Once a Destination File Path and Name have been selected, click on Start Backup. Note: The Start Backup and Close buttons will change their appearance once the backup has begun. The Start Backup button becomes disabled, and the Close button converts to an Abort button, allowing you to abort the backup if necessary. During the Backup process, the Backup Progress and File Progress bars activate, indicating the progress of the Backup.

5. When the Backup has completed, click OK on the Information window.
